Why we call it Yalu
යාළු
Yalu means “friend” in Sinhala. It was named at the first property it ran for, beside Yala National Park — so it carries the park next door in it too.
Which only counts for something if it can actually feel like yours. So you write who it is.
That’s our actual word for it, and it’s a real document — who your assistant is, how warm it runs, what it sounds like, how it reads a first-time browser differently from someone ready to book, and the one rule it will never break. You brief it the way you’d brief a new front-of-house hire.
Yalu is simply what we called ours. On your property it can be anything your guests should meet — the name is configuration, not a rebrand you have to ask us for.
Two hotels running Yalu shouldn’t sound like the same company. A dive lodge and a heritage bungalow want different warmth, different pacing, different instincts about when to get out of the way. That’s the point of the soul.
Personality is yours. The rules aren’t negotiable — a soul can’t grant the assistant permission to discount, invent a room or quote a price it hasn’t calculated.
Guests don't wait. When your inbox is closed, they open Booking.com.

The pool fencing at Kotiyagala
Hi Anja, apologies for the wait — I wanted to check properly rather than guess. Each villa pool is private and enclosed within your own walled garden…

How it sells
Most hotel AI is a search box with manners. Yalu runs the conversation the way your best salesperson would — and it will not discount your rooms.

Rate pressure
Doesn't cave, doesn't deflect
One idea that fits. Never a menu.
The move it makes every time price comes up.
Who's actually in charge
The assistant has no authority to concede anything — not a rate, not an upgrade, not a promise. Every decision that costs you money stays with a person, which is exactly what makes it safe to leave running overnight.

When they go quiet
A guest asks about Christmas, gets an answer, and disappears. Someone means to follow up. Nobody does. Yalu writes the follow-up for you — three times, then it stops.

Five days later
If something real has happened at the property — a sighting, a moment worth sharing — it weaves that in. Only if it genuinely fits; never forced.
A week after that
No hard sell, no pressure to reply. Essentially “we're here whenever it's useful.” Then it stops.
Three assistants, one system
Answers your guests.
Works for your team.
Works with your agents.
Back of house
Yalu faces your guests. Kalu faces your team — and what your team tells Kalu is what your guests hear back from Yalu. That loop is the whole system.
Ask it anything about the pipeline in plain language — who came in this week, what's sitting in discussion, which inquiries went quiet. It reads the same records your dashboard shows, and it changes a lead's status when you tell it to, rather than leaving that to whoever remembers.
Never quotes a status or a number it hasn't just looked up. If a lookup fails, it says so instead of guessing.
It drafts the reply, schedules the one that should land on Thursday, and taps the right colleague when a guest needs a call before six. Everything goes out under the approving person's own name and signature — never Kalu's.
Every send, status change and scheduled message pauses on the exact text until a person approves it.
The dates, the occasion, the two children, the question nobody could answer yet — kept against the lead with the full conversation and a summary, so whoever picks it up next isn't starting cold or asking twice.
Grounded in that lead's real record. It won't invent a detail to fill a gap in the story.
Tell Kalu the pool is down, the back entrance is closed, the chef is away Tuesday — and Yalu stops guessing about it with guests immediately. Tell it things are back to normal and the notice clears. One team briefing, and the front of house knows.
This is the join between the two assistants: staff knowledge in, guest answers out.
KaluYalu
Which is also how the sell gets personal. By the time Yalu suggests sundowners by the lake or a guided walk that ends in a beach picnic, it's working from what the guest told you they came for — the anniversary, the first safari, the children — not a list of extras shown to everyone.
Trade desk
Agents and DMCs send you guests you'd never reach yourself — but they email at odd hours, want rates before they'll talk, and need to sell your property without having seen it. Mithu is the colleague who looks after them.
Anyone from the trade can open the portal and talk to Mithu straight away — no form in front of the conversation. When they ask for rates, Mithu asks for an email and a six-digit code signs them in without leaving the chat.
The villas, board and dining, safaris and getting there, selling to ultra-luxury clients, and their partner kit — taught in conversation, with photo galleries from your asset library. Partner features unlock only once it's done.
They upload a business registration or licence from the chat. An admin reviews it and approves, rejects or suspends — with a reason the partner sees. The private rate card goes out with the approval email.
Mithu treats each sale as one it's winning with the agent: it remembers their clients, helps with the pitch and the follow-up, checks availability, and places holds by emailed code. It never offers a discount — it finds the experience the client would love instead.

Availability checked, no prices shown
Every hold confirmed by its own code
And when a travel agent emails your reservations inbox asking for rates, they're recognised, logged as a trade enquiry, and invited to Mithu — with no prices in the invitation.
Intelligent room allocation
Which villa a guest gets is where a lot of quiet money is made or lost — a one-night gap nobody can sell, two villas booked by one family on opposite sides of the estate, an anniversary couple without the view. Room allocation suggests a villa for every booking, says why, and tells your team exactly what to change in the PMS.
Room allocation
Plan · suggested vs. in eZee now
Suggested move
WeberVilla 05Villa 02
Tenth anniversary, mentioned in chat — anniversaries get a sea-view villa. Also closes a one-night gap in Villa 05 before the Lees arrive.
In eZee: change the room on reservation 4821 to Villa 02
Khan's hold fits only in Villa 04 — it would block a two-villa booking for Mon–Wed.
The same rules brief Kalu when your team sells: before a hold or a quote, it says how many villas of that type are free, whose holds are on them and until when — then offers the alternatives your rules allow.
Running the house
The chat is where a guest starts. Everything after it — the booking, the villa, the task, the email nobody answered — lives in the same system.
Every reservation from eZee synced in, searchable by Kalu, linked to the guest's lead — with holds and inquiries shown as what they are, never as confirmed. Cancellations eZee quietly drops are flagged.
A live view of visitors chatting with Yalu. Take over a conversation from the dashboard or your phone, and Yalu steps aside — with translation both ways, so you can reply in English to a guest writing in German.
Chat, WhatsApp, email, calls and notes on a single timeline per guest, with a short brief that updates within minutes of anything new — so nobody reads forty messages to pick up a lead.
Give a job to someone, talk it through on the task, mark it done. Kalu suggests tasks from guests' emails and chats, and a booking with open tasks shows an alert wherever it appears.
Every guest email waits for a reply until someone writes back or marks it as needing none — highlighted on the lead list and in a shared Inbox.
Leads that reach discussion or book, and that came from an ad click, go back to Google Ads in a daily feed — so bidding optimises on real guests, not form fills.
A rate engine does the arithmetic, not the language model. Out-of-range dates return “I can't quote that” — never a guess.
Every email, status change, hold and staff message Kalu drafts pauses until a person approves the exact text.
Villa names are read from your live site mid-conversation. It cannot offer a suite you don't have.
Asked directly, it says plainly that it's your hotel's AI assistant.
How it connects
Yalu doesn’t keep your hotel stuffed inside a prompt. It reaches real systems through MCP — the open standard for connecting assistants to live tools — and everything it can do today arrives that way.
Connected today
What that makes possible
It’s one mechanism, whatever we point it at. The PMS connection sits behind a generic adapter with eZee as the first one — so adding another PMS, or another system your property runs on, is configuration rather than a rebuild.
